Help
How TradeCatch drafts and sends your quotes: from the call or from scratch, your own prices, VAT and CIS, and following up customers who haven’t replied.
These are the same answers TradeCatch customers see in the app. Where one says “open Help” or names a page, that’s inside TradeCatch once you’ve signed in. Sign in →
When a caller describes a job, it shows in Quotes under "Waiting for a price", with a "Draft quote" button.
Tap it and the quote opens with the customer and job filled in, and Catch drafts the lines from the call. Check the prices, change anything you like, then save it. Nothing goes to the customer until you send it.
Tap "New quote". Add the customer and the job, then your lines of work and materials. You can type or speak a description and let Catch draft the lines for you.
Add any notes, terms or photos, then save it as a draft or send it.
Always. A quote only goes when you tap Send and then confirm "Send quote". You can see exactly what your customer gets before you send it.
Catch can draft quotes, but it never sends one without your OK.
By text, email or both — you choose when you send it. They get a link to a page with your quote, where they can tap "Accept quote" or "Decline".
After sending, you can copy the link and share it however you like, for example on WhatsApp. You can also download a PDF of any quote.
Each quote shows when the customer opened it. Your quotes are grouped into Not sent yet, Out with customer, Gone quiet, Said yes and Said no.
When they accept or decline, we email you straight away. To get a text as well, open Quotes, tap Settings, and switch on "Text me when a quote is accepted or declined".
Open Quotes and tap "Price list". Tap "Add an item" and choose labour, materials or other. Add what it costs you and your price.
Your items then come up as suggestions while you build a quote. You can also save a line to your price list from inside a quote.
Quotes setup asks "Are you VAT registered?". If you say no, your quotes show no VAT. If you say yes, lines are added at 20%, and you can change the rate on any line.
If your VAT status changes after setup, email us at support@tradecatch.ai and we'll update it for you. You can't change it yourself yet.
CIS is the Construction Industry Scheme. Some contractors have to take a deduction off a subcontractor's pay and send it to HMRC.
If you say you're CIS registered, each quote gets a "CIS deduction" switch. It tells the customer the deduction will be worked out at invoice stage. It doesn't calculate anything on the quote. If CIS doesn't apply to you, say no and you'll never see it.
Not yet. Once a quote is sent, it can't be edited. Make a new quote with the changes and send that one instead.
Only if you switch it on. Open Quotes, tap Settings, and find "Text to follow up on a quote". When it's on, the customer gets up to three short texts, two, five and seven days after you send. The texts stop as soon as they accept.
There are also optional follow-up calls under "Calls to your customer", off unless you switch them on. To stop any of it, switch it off in the same place.
Yes. Open Quotes, tap Settings, then Xero, and tap "Connect to Xero".
Once connected, new customers go into Xero as contacts, and accepted quotes go in as draft invoices. Nothing is sent to your customer from Xero unless you send it there.
Yes. Open Quotes, tap Settings, and use "How your quotes look" to add your logo and brand colour. They show on every quote and PDF.
Add your usual terms under "Your standard terms". You can change the terms on a single quote without changing them for the rest.
